Scope and Contents

In 318 registers. Records pertaining the activity of the Chancery of the Order of Saint John of Jerusalem, of Rhodes, and of Malta. Registers include copies or registration (libri bullarum) and minutes (libri minutarium) of magistral and conventual decrees concerning admissions, collations of priories, bailiwicks, and commanderies, dignities and titles, diplomatic correspondence, instructions for ambassadors and members of the Order, passports, and military and administrative matters. Records also include indexes, repertories, chancery formulas, and chancery taxes and fees. Historical Note

Documents issued by the Chancery of the Order of Saint John of Jerusalem, of Rhodes, and of Malta on the authority of the Grand Master and Council. The Chancery was officially instituted during the Chapter General of 1314, although it existed unofficially in the Holy Land prior to this date. The Chancery was in charge of drawing up and coordinating preparatory documents, drafting documents, and preparing final copies of all the acts issued by the Grand Master and the Council, including authentications, registrations, and expeditions. The Chancery received petitions, guaranteed the authenticity of official documents, and preserved documents in their care. The chancellor was at the head of the Chancery. His staff included a vice-chancellor, a vice-chancellor’s lieutenant, a secretary, some coadjutors, and scribes. After the division of the Langue of Spain in 1462, the chancellor also served as the head of the Langue of Castile and Portugal. The chancellor served as the figurehead of the Chancery, whose formal duties included drafting letters and decrees, and registering of sentences. The vice-chancellor was nominated by the chancellor and elected and approved by the council and the grand master. He was not necessarily a professed knight, but a man of letters expert of law. The vice-chancellor was in charge of the daily administration of the Chancery. He received, managed, and preserved the records concerning the administration and the government of the Order and its members. The vice-chancellor supervised the drawing up, registration, authentication, and expedition of the documents. Most documents were signed by the vice-chancellor. Although extracts from the chancery registers could be delivered to the knights against payment, confidential documents and criminal proceedings were kept and viewed only by the vice-chancellor. The vice-chancellor had an advisory role on the Council, was responsible for the Council's minutes, and functioned as a secretary of state and counsellor to the Grand Master. The vice-chancellor also completed reports and minutes, recorded the profession of the knights, and played a prominent part in the Order's ceremonies. The vice-chancellor lieutenant or regent was appointed by the vice-chancellor and confirmed by the chancellor from among the conventual chaplains of the Order of Saint John to assist him in the work of the Chancery. The secretary oversaw the work of the Chancery. He controlled the order of registers, information, formulas, regulations, and registration to report to the vice-chancellor. The scribes (at least two) were in charge of writing the documents, repertories, inventories, indexes, guidelines, and formularia. They were chaplains of the Order or laymen.
